WINDERMERE POLICE DEPARTMENT GENERAL ORDER Effective Date: August 30, 2022  New Policy Amends Number: 9.5 Subject : Agency Property and Inventory Control Print Date: 08/30/22 Distribution: All Personnel Review Month: August This order consists of the following: 1. Purpose 2. Policy 3. Procedures 1. Purpose This purpose of this policy is to verify all property owned by the Windermere Police Department is properly accounted for and maintained. 2. Policy The Windermere Police Department is committed to effective management of all agency owned property. This will be accomplished through a structured system to control receipt, accountability, issue, maintenance, storage and disposal of property. 3. Definitions A. Accountable Property – Tangible property valued at less than $1,000.00 that is recorded and acknowledged, by signature , (e.g., uniforms, chemical agents, ASP batons, etc.). B. Fixed Assets – Tangible Property valued at $1,000.00 or greater and certain other items which because of their nature may require additional accountability are assigned an asset number and listed in the agency’s inventory system. 9.5, Page 2 4. Procedures A. Fixed Assets 1. The receipt of any property intended for use and/or ownership of the Windermere Police Department is coordinated through the Deputy Chief or designee. 2. Newly acquired items will be inspected to confirm completeness and to determine condition . 3. Items determined to be a fixed asset will be assigned a Windermere Police Department asset number and tagged. 4. In instances where the nature or design of an item does not lend itsel f to tagging, the item will be inventoried by use of a unique identifier code. 5. Information pertaining to the newly acquired asset will be entered and tracked on the Windermere Police Department’s designated database. B. Inventory An annual inventory of all Windermere Police Department Property will be conducted in accordance with FS 274.02 by the Deputy Ch ief or designee. C. Items acquired through grants must provide the following information in the recipient’s inventory system: 1. Description of property 2. Serial number 3. Source of funding 4. Who the title vests with 5. Acquisition date 6. Cost of the property 7. Percentage of the total cost funded by the grant 8. Location 9.5, Page 3 9. Condition of the property 10.
