STANDARD OPERATING PROCEDURES
SS504 - Report Status 1 SS504 REPORT STATUS
SS504.1 PURPOSE AND SCOPE
This procedure establishes guidelines to account for the status of reports.
SS504.1.2 ACCREDITATION STANDARDS
This procedure pertains to the following CALEA Standards: 82.1.5 , 82.2.3 , 82.3.4 , 82.3.5
This procedure pertains to the following General Order(s): §802, §806, §516, §440, §442
SS504.2 ORIGINAL REPORTS
Reports issued case numbers, arrest numbers or both are sequentially generated from the
Computer Automated Dispatch (CAD) system. The original report s issued one or both numbers
shall be maintained in the Records Unit. A missing report audit will be conducted monthly to
ensure all reports , having been assigned a case number or arrest number , have been turned in
and accounted for.
SS504 .3 CITATIONS
Traffic, criminal, and parking citations are numerically issued to appropriate police department
personnel by Records Unit staff in books of twenty -five from a secured storage cabinet . The
person issuing the citations shall write the name an d P# of the subject receiving the citations, the
citation book number range and the issuers P#.
Electronic citations are numerically issued via the handheld ticket writer and maintained
electronic ally.
The department copy of handwritten citations issued in the field , are held in the Records Unit. If
a citation was requested to be cancelled and approved, said citations are held in the Records
Unit.
SS504.4 FIELD INTERVIEW CARDS
Following the entry of data into the Records Management System (RMS), hard copies of p olice
contacts documented utilizing Field Interview Cards are maintained in the Records Unit.
Field Interview Cards pertaining or alluding to gang activity are maintained in a secured location
and are also entered into the appropriate computer information system.
