SS400 - General Call Taking Information and Descriptions 1 SS400 GENERAL CALL TAKING INFORMATION AND
DESCRIPTIONS
SS400 .1 PURPOSE AND SCOPE
The purpose of this procedure is to establish guidelines for handling incoming calls for service.
It ensures uniformity and the maintenance of a high level of service for victims, witnesses and
other callers.
SS400.1.2 ACCREDITATION STANDARDS
This p rocedure pertains to the following CALEA Standards: 81.2.3
This procedure pertains to the following General Order(s): §802
SS400.2 PROCEDURE
When entering a call for service, always ask the caller their name, address and phone number.
This information should be entered into the appropriate fields of the CAD mask. If the caller
advises they would like to remain anonymous or refuses to give their name, enter “anonymous”
or “refused” in the RP section of the mask.
Always attempt to keep the calling party on the phone until officers arrive if:
a) The caller admits to taking a life ;
b) The caller is observing a crime in progress ;
c) There is a potential threat to life ;
d) An incident where officers will need to be updated as frequently as poss ible while
enroute to the call; and/or
e) Prowler call both inside and outside .

1. Color 4. Model or style (2 door, hatchback, convertible)
2. Year 5. License number
3. Make 6. Any other identifying marks (bumper stickers,
body damage)
It shall be the responsibility of Communications personnel to record all relevant information on
calls for criminal and non -criminal service or self -initiated activity . Employees shall attempt to
elicit as much information as possible to enhance the safety of the officer and assist in
anticipating conditions to be encountered at the scene. Desirable information would include, at a
minimum, the following:
a) Incident number;
b) Date and time of request;
c) Name and address of complainant, if possible;
d) Type of incident reported;
e) Location of incident reported;
f) Identification of officer(s) assigned as primary and backup;
g) Time of dispatch;
h) Time of the officer’s a rrival;
i) Time and nature of any significant status changes;
j) Time of officer’s return to service;
k) Disposition or status of reported incident.
