METHOD OF DISPOSAL FOR PROPERTY RELEASED ON A PERMANENT BASIS
(CHARITABLE ORGANIZATIONS)
The purpose of this order is to o utline the procedure for the d isposal of property on a
permanent basis through contributi ons to charitable organizatio ns.
I. Requests from Charitable Organizations (County Code Section 2.64.020)
A. Charitable organizations, school s, social workers, etc., may request the
donation of specific items for thei r use. The majority of these requests are
for bicycles.
B. Request letters for such donations must be sent to the chief deputy for
Special Services.
C. Upon approval by the chief deputy, the Property Bureau will fill the
requests according to availability and the date requested.
D. A request by the Sheriff’s D epartment for an item for depart mental use will
take precedence over a charitable request.
E. Requests will be re viewed monthly.
F. The requesting person or agency will be notified by mail whe n the
requested item is available.
G. When releasing property as a result of a req uest letter:
1. The request letter will be assi gned the next available numbe r from
the “letter number log.”
2. The request letter will be checke d to verify that it contain s the
following information:
a. Type of property. b. Serial number, if applicable. c. Sheriff’s Department report or property number.

d. Name of receiving organization or person. e. Date of transfer.
3. An item that has had the seri al number removed will be assig ned a
new identification number.
4. The property receipt/report will be signed off indicating th e item
number, the letter number, the dat e of transfer, and the name o f the
releasing officer.
5. The request letter and property receipt/report will be filed in the
appropriate file.
