Page 1 of 2 16/09 (REV 1/89) Confidential Wastepaper Destruction The purpose of this order is to p rovide instructions for the di sposal of confidential documents. I. General A. Normal administrative activ ity produces a great volume of confidential documents. Government Code Secti on 6254(f) restricts the releas e of report copies to specified persons involved in the incident. Th e California Administrative Code, Chapter A, T itle 2, Subchapter 7, Article 1 of Subchapter 1, Section 708, state s that, when criminal offender record information is destroyed, the des truction shall be carried out to the extent that the identity of the subj ect can no longer reasonably be as certained. Therefore, the following proc edures shall be adopted to preclud e the possibility of unauthorized persons obtaining confidential docu ments earmarked for disposal. II. Procedures A. Confidential documents include: 1. All official reports prepared by Department personnel relati ng to offenses, arrests or warrants. 2. Computer printouts of Department activities. 3. Criminal offender records (RAP sheets). 4. All photostatic copies of the above material. B. The types of documents listed in Section II, paragraph A abo ve shall be placed in the confidential materi al cartons, not office wasteba skets. 1. Cardboard cartons can be obtain ed from Central Stores, Catal og Number 6520-2624-1 for the collect ion of confidential material for destruction. 2. The paper should be neatly stack ed in the destruction carton s to ensure maximum use of each carton. Page 2 of 2 16/09 (REV 1/89) C. Under no circumstances shall confidential doc uments be disca rded in office wastebaskets. D. It is each division’s respons ibility to contact the destruct ion company under contract for pickup of containers. Contact information ma y be obtained from the Records Manager at 440-5350. Each division wi th the exception of Correct ional Services shall be responsible for ide ntifying their costs under Budget Unit 2899. All f unds identified shall be pla ced in the Technical Services budget to pay for all destruction. E. This service shall not be us ed for the destruction of blank, outdated forms or other types of non-c onfidential materials.
