Page 1 of 2 10/09 (REV 1/18) GENERAL ORDER Department Wide Noti fication Application The purpose of this General Order i s to specify the policies as sociated with distribution of information and materials usi ng email to the employees, volu nteers, and partners of the Sacramento Sheriff’s Depar tment. These policies shall be us ed when sending email using the Notifications application. I. Policy Statement All emails being sent using the Notifications application must be approved by a Chief Deputy, the Undersheriff or Sherif f. Notifications may only be sent (physically) by staff designated in the Notifications application sender database. II. General Procedures A. Each Service Area Chief Deputy will identify the contact for department wide notifications for each division. B. Requests for department wide no tifications are to be sent to the requestor’s contact per son identified above. C. All communication is to be appr oved through the chain of com mand prior to being sent. The Service Ar ea Division Chief is the approvin g body for their respective areas. D. In emergency situations departm ent wide notifications may be sent to the S1 on duty if the division cont act is not available (after Chie f’s approval of content). E. Members of the department wi de senders group do not need to send their request to the division contact, but the approval process is th e same as stated above. III. Review and Approval Requirements A. All department wide notifica tions shall be related to Depart ment business. B. All department wide notificati ons shall follow documented po licies for appropriate content. C. The Service Area Chief Deput y will be responsible for approv ing all content as part of the approval process. Page 2 of 2 10/09 (REV 1/18) D. Announcements for charities are acceptable for department wi de notifications, with Exec utive Staff approval. E. Department wide notifications m ay NOT be used for the follow ing: 1. Solicitation (non-department related independent sales) 2. Personal parties 3. Other non-department al related matters IV. Appointees A. Personnel identifi ed by Executive Staff will be maintained i n the department wide Notification app lication sender database. B. The Notification application sender database will be maintai ned by the Field Support Division - Technical Operations. V. Appointees by Request A. Requests for access must be su bmitted in writing to the Serv ice Area Chief Deputy. The request shoul d include the duration of time the permission would be needed. B. If approved, a copy of the request will be forwarded to the Field Support Division – Technical Operations for implementation. The docume nt will include an affirmation notati on from the approving Chief. VI. Appointees Removal A. When a member no longer needs access, the Service Area Chief Deputy will send a request to the Field Su pport Division – Technical O perations requesting that the access be removed. VII. Appointees Review A. Annually the manager of Field Su pport Division – Technical O perations will provide each Service Area Chief Deputy the list for review , and the Chief will communicate any need ed changes through the removal procedure.
