Destruction of confidential documents Purpose of the order The purpose of this order is to d efine confidential documents a nd establish a policy for their handlin g and destruction. Definition of confidential documents The following list defines confidential documents. A. Official reports prepar ed by Department personnel. B. Orders, bulletins, and memorandums prepared and disseminated by Department personnel. C. Computer printouts of Department activities. D. Criminal printouts of Department activities. E. Xerox co pies of above materials. Responsibility for confidential documents The following list describes th e policy regardi ng responsibilit y for confidential documents. A. Division personnel shall be respons ible for the handling and se curity of confidential documents unde r their control. B. This responsibility continues until the documents are placed in to the proper destruction contain ers or places of origin. C. Only full-time Division personnel shall retrieve criminal offen der record information from the D1-CRT terminal. D. Sections 11140-11144 PC defines and restricts the use and dissemination of criminal offe nder record information. E. Violation of these sections is a misdemeanor, punishable accor ding to law. A. Confidential documents and crime reports shall not be placed in regular waste receptacles for disposal. B. Officer should make every attempt to shred the documents in the shredding machines located in the Xerox room and the computer r oom. C. When time does not allow for suc h disposal, the confidential wa ste shall be placed in the canisters "CONFIDENTIAL DESTRUCTION" at several locations the facilit y. 2 of 2 10/01 (REV 10/01)
