CORRECTIONAL SERVICES Page 1 of 2 5/11 (REV 7/07) MJ/RCCC OPERATIONS ORDER Classified Documents The purpose of this Order is to standardize procedures when dea ling with and disposing of classified documents at the Main Jail and the Rio Cosumnes Correctional Center (RCCC). I. Policy The Main Jail and RCCC shall securely maintain and properly dis pose of all classified d o c u me n ts . A n y d oc u me n t th a t c o n ta i n s th e p e rs o na l i n fo rma tio n for staff members shall be secured from public a ccess. Any document that conta ins confidential information will be secured from unauthorized access. II. Classified Documents A. Classified Documents regardi ng prisoners are non-public reco rds which consist of, but are not limited to, the following: 1. Criminal offender records and other official reports prepare d by department personnel relating to o ffenses, arrests or warrants. 2. Classification, discip linary, or health records. 3. Computer printouts of fac ility activities and schedules. 4. Photocopies o f any of the above. 5. Memorandums, letters or bulleti ns regarding any of the above . B. Classified Documents involvi ng facility or department person nel are non- public records which consist of, b ut are not limited to, the fo llowing: 1. Personal information or personnel records. 2. Computer printouts, department al correspondence, or facility procedures and schedules. 3. Photocopies o f any of the above. C. All facilities shall dispose of classified documents in such a manner that the identities of subjec ts cannot be ascertained. CORRECTIONAL SERVICES Page 2 of 2 5/11 (REV 7/07) MJ/RCCC D. Regular facility trash and non-classified documents shall no t be disposed of in classified waste receptacles. III. Destruction of Classified Documents A. A “Classified Waste” container or a shredder shall be locate d in each area where a computer and/or photocopy machine is located. 1. Main Jail and RCCC personnel shall utilize these containers for disposal of all classified info rmation, including photocopies. B. The day watch officer supervising the cleaning crew shall be responsible for the collection of “Classified Waste”. 1. Each “classified waste” rec eptacle shall be lined with a pla stic bag. 2. All collected classified waste shall be taken to the Fiscal Office to be temporarily stored. 3. Custody staff working in the fiscal office shall establish a schedule for pick up by the disposal company under contract. C. Certain classified documents for both facilities are stored, processed, and destroyed by the Archives unit at the Main Jail.
