REPORT COPY PROCEDURE
The purpose of this order is to o utline report copy procedures for the Detective Division.
I. Receipt of New Crime and Arrest Reports
A. The Records Bureau furnishes t he Detective Division with a s ingle copy of
all new crime reports and two copies of new arrest and citatio n reports. If
additional report copies are r equired, the bureau lieutenant s hall have
them made on the Detective Div ision copy machine. The report c opies
shall be distributed to the appr opriate bureau by designated D etective
Division personnel.
1. The one exception to this pr ocedure will be fresh homicide r eports:
a. Patrol officers, CSIU personnel, and other department
personnel, including detectiv es, involved in the initial
investigation will complete thei r reports prior to ending their
shifts.
b. Those involved personnel, outsi de of the Detective Division
personnel, will make appropriate copies for their division commanders and hand-carry the ori ginals to the Homicide
Bureau.
c. Homicide Bureau per sonnel will assemble all original reports
and after making appropriate copie s, will deliver the originals
to Records.
II. Request for Copies of Original Reports
A. The following procedure sha ll be used to obtain report copi es from the
Records Bureau.
1. The detective shall properly c omplete a counter request card
indicating the number of copies o f the original desired and eit her
hand-carry the request to Records or phone in the request to
Records.

2. Records Bureau per sonnel will make the requested report copi es
and include a counter request card and place it in the Detectiv e
Division pick up box.
III. Report Copies Prepared by Detectives
A. Detectives preparing reports shall make their required numbe r of copies
on the Detective Division copy m achine and send the original re port,
stamped “ DETECTIVE COPIES MADE ” to Records.
B. If more than ten total pages nee d to be copied or multiple c opies of reports
or other correspondence total over ten copies, Detective Divisi on
personnel may use the copy machine( s) in the Records Bureau to do so.
The reason for this procedure is that the cost of copies is muc h less on the
Records Bureau copy machines.
