Equipment and Supply
The purpose of this order is to e stablish regulations and proce dures governing Field
Services equipment, supply control and issuance. I. Personnel
Equipment room perso nnel will be assigned to day shift and will be responsible
for the control of safety equi pment and the ordering of supplie s. In the event
these personnel are not availabl e, the division budget coordina tor or a designee
of the division commander will fill in.
II. Restrictions
Only authorized personnel shall be permitted to enter any contr olled area.
Equipment room areas are to be secured in the absence of author ized personnel.
Authorized personnel are:
A. Personnel assigned to the equipment room
B. Field Services division co mmanders, assistant commanders, re lief
sergeants and watch commanders
C. Those persons authorized by a watch commander or equipment r oom
personnel
D. Patrol officers (allowed a ccess to the equipment issue area only)
III. Accountability
A. All equipment drawn from the patrol services equipment room (vehicles,
shotguns, portable radios and other equipment ) will be signed f or by the
officer, regardless of rank, on the appropriate log sheet provi ded for each
shift. Equipment room personnel w ill check all equipment again st these
forms and note any discrepancies.
B. Expendable supplies such as batteries, pens, shotgun shells, and other
equipment will be issu ed on a replacement basis as needed from stock
available.

Strict control of equipment room keys and/or combinations shall be maintained.
No unauthorized person shall have a key/combination to the equi pment room or
any of the controlled areas. Iss uance of the keys/combinations will be at the
discretion of the di vision commanders.
V. Obtaining equipment
Officers will complete the proper form when obtaining equipment from the
equipment room.
A. Daily equipment control form
1. The purpose of this form is to record vehicle, shotgun, and other
safety equipment information wh en the equipment is checked out
by an officer.
2. Each item is assigned a number that is either imprinted or
embossed on that item. This number will be recorded on the for m
in the appropriate place.
VI. Returning Equipment
A. Officers will return all equipment signed out.
B. Clear the sign-out sheets by drawing one line through each s erial or
equipment number.
C. Ensure that all keys are re turned to the des ignated area or if the vehicle is
written up for repairs, placed in the correct repair box (Radio /MDT or
vehicle).
D. Replace shotguns in the appropr iate rack, unl oaded, with the action open.
E. Place items to be serviced or repaired (shotguns, radios, et cetera) in the
area designated. The items shall have a note attached explaini ng the
problem. Equipment room personnel shall see the item is proper ly
repaired or serviced.
VII. Vehicles In Need Of Repair
When vehicles are in need of repai r, the officer writing up the vehicle shall:
A. Complete the proper repair fo rm (Radio/MDT or vehicle) inclu ding the
nature of the problem and the exact mileage.
B. Place the vehicle keys and t he repair form in the proper box es established

1. Equipment room per sonnel shall ensure that the repair forms are
complete and routed to the proper repair shop.
VIII. Citation Books
All citation books (notice to appear and parking) are to be iss ued in the following
manner:
A. The receiving officer will fi ll out the slip attached to the citation book.
B. Equipment room perso nnel will issue the citation book and lo g the
information on the slip into the citation log book. A log book is maintained
for each of the different types of citation books.
C. Used citation books are to be retained by the officer for fu ture use
(possible court appearances).
IX. Ordering Supplies for Division
Equipment room personnel shall be responsible for the ordering of patrol related
supplies for their respective divisions.
X. Lost/Stolen Equipment
In the event that a set of car ke ys containing the knox key (ga te control) is lost or
stolen, the equipment room shall re ceive a copy of the lost/sto len report so the
key can be replaced as soon as possible. (in accordance with Ge neral Order
4/06).
