CIVIL DIVISION – M AIL PROCEDURES
I. Purpose
The purpose of this Operations Or der is to establish procedure s as to the routing
and posting of U.S. Mail and Inte r-departmental mail sent by C ivil Division
personnel.
II. Stamped Envelopes
The following listed items are to be mailed in stamped envelop es:
Notice of levy bei ng sent to the debtor
Notice to vacate being sent to the tenant
Notice to the plaintiff of f iling Claim of Exemption
Notice to the Bankruptcy Trustee
Select major levy documents
Items as directed by a supervisor or manager
Other items when necessary to meet specific time lines
III. Non-Stamped Envelopes
The following listed items will be mailed in non-stamped envel opes:

IV. Out Going Mail Locations
Stamped mail may be deposited in one of two locations dependin g on the
circumstances:
The stamped mail bin located at the front of the office
The U.S. Mail receptacle adjac ent to the building mail room on the 1
st floor
Non-stamped mail is to be deposit ed in the non-stamped mail bin also located at
the front of the office.
V. Normal Mail Pickup
Normal U.S. Post Office pickup from the Civil Division is dail y between 1130 and
1330 hours.
VI. Special Mail Deposits
Special mailings are made daily b y the Senior Records Speciali st. U.S. Mail is
hand carried to the 1st floor mail receptacle daily approximately 1430 hours, to
make the last U.S. Post O ffice pickup of the day.

VII. Inter-departmental Mail
Inter-departmental ma il will be placed in t he designed bin for transportation to the
Sheriff’s Administration bu ilding mailroom. This mail is tran sported
approximately once a day. Mail received at the Administration building is picked
up and returned to the Civil Division at that time.
