Page 1 of 9 1/23 (NEW 1/91) Apprenticeship Tracking Program The purpose of this General Order is to establish policies and procedures for tracking and documenting Deputy Sheriff appr entice on-the-j ob training h ours throughout the apprenticeship program. I. Program The Sheriff’s Department and the State Department of Industrial Relations, Division of Apprenticeship Standards, work t ogether in this program to prov ide standardized formal and on-the-job training for newly -hired deputy sheriff trainees . When deputy sheriff trainees are hired and enter the Academy, they also become appr entices with the State Department of Industrial Relation s, Division of Apprenticeship Standards. In this capacity, they receive fo rmal classroom and on-the-job training. Currently, the classroom portion of their trai ning consists of 862 hours and t he on-the-job training consists of 2,258 hours for a tota l of 3,120 hours of training (these hours are subject to change as the number of State-m andated training hours change). The Division of Apprenticeship Standards provi des funding for the Academy porti on of the new deputies’ training. The Sheriff’s Department administers the pr ogram, documents the apprentices’ progress, and enforce s departmental compliance wit h the terms of the agreement. The entire program mus t be completed within two years of the da te of hire. The program may be completed before the two- year date if the appropriate nu mber of training hours have been accrued, but cannot extend beyond that time. II. Policy Statement A. The Sheriff’s Department admin isters the program by means of an apprenticeship committee. The commi ttee consists of three membe rs. These members are supervisory sta ff of the Division of Training and Reserve Forces. Additional member s may be enlisted if the need arises. If necessary, training coordinators fr om correctional services wil l serve as additional members. B. The Sheriff’s Training Academ y staff is responsible for trac king apprentice training hours while i n the Academy setting. C. Upon entering the correctional system, the apprentices thems elves are responsible for the documented tracking of training hours. Page 2 of 9 1/23 (NEW 1/91) D. The training coordinators, tra ining sergeants and on-site sh ift sergeants of the apprentice’s assigned work s ite, are responsible for verify ing and tracking the apprentice’s traini ng hours after the Academy trai ning has been completed. The training coor dinators’ responsibilities inc lude determining if the apprentice is p rogressing satisfactorily tow ard the completion of the program wit hin the prescribed time. E. Written notification will be made to the apprenticeship comm ittee by the divisional training coordinator upon completion of the program by each apprentice. F. Written notification will be made to the apprenticeship comm ittee by the divisional training coordinator upon termination or resignation of an apprentice. III. Procedures for Tracking Trai ning Hours and Work Processes A. Upon graduation from the Academy, the apprent ice will be gi ven forms DAS 103 and 103A to be complet ed at the work site (see Append ices A, B, C and D). 1. Form 103A is to be completed on a daily basis by the apprent ice. The on-site training sergeant or shift sergeant is to initial e ach daily entry as it is completed and si gn the form at the end of the mo nth. This form will be given to the tr aining coordinator of the appr entice’s assigned division and shall be retained in the apprentice’s tra ining or divisional file (see Appendix B). a. The date and job description ( deputy sheriff) will be writte n on the top of the form in the space provided. b. The letters listed from “A” to “M” down the left side of the form correspond to the letters by the “List of Work Processes” on Form 103. c. The numbers listed from 1 to 31 across the top of Form 103A represent the da ys of the month. d. The number of hour s or minutes spent on training in each area is to be posted in the box next to the letter corresponding to that item on t he “List of Work Processes” under the date of that w ork day on which the training was completed. On the right side of the form is a column entitled “Monthly Total.” The total number of hours spent that month in each area of training will be posted in this column (these totals wi ll be posted on Form 103 at the end of each month). f. The signature of the appr entice and the on-the-job supervisor will be written on t he bottom of the form in the spaces provided. 2. Form 103 is to be completed on a monthly basis by the appren tice. This form is to be retained by t he training sergeant and turned in upon request to the training coor dinator for review by the apprenticeship committee (see Appendix C). a.
