THE PURPOSE OF THIS GENERAL ORDE R IS TO STANDARDIZE THE TYPE OF FOLDER USED FOR THE DIVISION
PERSONNEL FILE , A S W E L L A S T H E C A T E G O R I E S O F I N F ORMATION THEREIN AND PROPER OR DER OF
PRESENTATION .
I. GENERAL
UNIFORM ARRANGEMENT OF INFORMAT ION PLACED WITHIN PERSONNEL FOLD ERS ENHANCES BOTH
CONVENIENCE IN FILE SEARCHES AND PROFESSIONAL APPEARANCE .
II. OVERVIEW
OF DIVISIONAL PERSONNEL FOLDERS
A. EACH DIVISION WITHIN THE SHERIFF 'S DEPARTMENT SHALL MAINTAIN INDIVIDUAL
PERSONNEL FOLDERS .
B. AUTHORIZED FOLDERS : FOLDERS SHALL BE LETTER SIZE ሺ10" X 11 3/4"ሻ, BROWNISH ‐RED
COLOR, PRESSBOARD MATERIAL . FOLDERS OF MANAGEMENT PERSONNEL SHALL BE GREEN IN
COLOR. ALL REQUESTS TO PURCHASE FOLDER MATERIALS SHALL BE COORDINATED THROUGH
THE ADMINISTRATIVE DIVIS ION TO ENSURE UNIFORMITY .
C. ORGANIZATION OF FOLDERS : EACH INDIVIDUAL FOLDER SHALL CONTAIN SIX ሺ6ሻ SECTIONS IN
THE FOLLOWING ORDER ሺFROM FRONT TO BACK ሻ. EACH SECTION SHALL BE INK STAMPED
ACCORDINGLY :
1. PERFORMANCE EVALUATIONS /PERSONAL DATA
2. BASIC INFORMATION ሺTHIS INCLUDES ATTENDANCE RECORDS PERSONALLY SIGNED
POLICY DIRECTIVES , VEHICLE ACCIDENT REPORTS , PERSONNEL TRANSFER SHEETS ,
UNIFORM INSPECTION REPORTS , ETC.
3. MEDICAL REPORTS
4. COMMENDATIONS
5. COMPLAINTS /REPRIMANDS
6. EDUCATION /CERTIFICATES OF TRAINING
