1/06 (rev. 08/03) CIVIL DIVISION – SENIOR RECORDS SPECIALIST The purpose of this Operations Or der is to outline the duties a nd responsibilities of the Sheriff’s Civil Division Senior Records Specialist. I. General In addition to the duties associ ated with their job classifica tion, Civil Division Senior Records Specialists are l ead workers who are responsibl e for the duties described below. II. Chain of Command The Senior Records Specialist r eports directly to the Records Supervisor. III. Research Abilities Division Senior Records Specia lists must be able to read, rese arch and interpret complex court documents and codes in order to make accurate, t imely decisions. IV. Communications and Correspondence Senior Records Specialists rout inely communicate and correspon d with the following agencie s and entities:  Attorneys  Judges  County Counsel  County Recorder  Financial institutions  Storage facilities, tow compani es, appraisers and other privat e enterprises  Civil staff from other agencies  Public V. Levy Duties Senior Records Specialists are r esponsible for processing the following levy types:  Till taps  Keeper levies  Vehicle levies  Real property levies  Personal property levies  Writs of attachment 1/06 (rev. 08/03) Civil Division – Senior Records Specialist VI. Levy Related Duties The Senior Records Specialist a lso handles the following levy related i t e m s :  Claims of exemption  Court granted stays  Bankruptcies  Large amounts of money  Property sales  Writs of Attachment  Writs of possession Claim and Delivery  Prepares sale documents which in clude: Certificates of Sale, Sheriff’s Deeds, and Rele ase of Real Property  Schedules the opening o f safe deposit boxes VII. Lead Worker Duties When designated as a lead worker a Senior Records Specialist p erforms the above duties in a back up c apacity; however, the main duti es are listed as:  Trains Records Specialists  Monitors and adjusts workflow as needed  Makes recommendations to supervi sor regarding clerical duties  Signs releases and modifications VIII. Specialized Knowledge  Performs notary duties for the Division
