ASSISTANT BUDGET COORDINATOR
The purpose of this order is to describe the duties and respons ibilities of the Assistant
Budget Coordinator. I. General
The assistant budget coordinator works under the direct supervi sion of the
administrative sergeant and the general direction of the divisi on executive officer
to maintain all divisional rec ords pertaining to the budget pro cess. Specific duties
and responsibilities in clude the following:
A. Uses a database system to t rack the division budget.
B. Maintains a monthly real ti me accountability of all budget e xpenditures
and account balances.
C. Prepares periodic budget sta tus reports and graphic charts f or division
management using spreadsheet programs.
D. Reviews all purchase requests for accuracy and obtains neces sary
management approval prior to submission.
E. Monitors the division budget and advises the commander of an y potential
problems.
F. Establishes and maintains a database system to track San Jua n Unified
School District expenses for training classes.
G. Assists with the preparat ion of yearly budget requests.
H. Designs and maintains a dat abase system to account for all t raining
performed by the division and pre pares a periodic summary train ing
activity report for submi ssion to the commander.
