CIVIL DIVISION – RECORDS SUPERVISOR
The purpose of this Operation Or ders is to outline and duties a nd responsibilities of the
Sheriff’s Civil Divisio n Records Supervisor.
I. General
The Records Supervisor is a ma nagement level employee responsi ble for
directing the work of the cler ical section and the coordinatio n of work between
the clerical and accounting sections.
II. Chain of Command
The Records Supervisor reports d irectly to the Civil Division Records Manager.
He/she reports information as d irected by the Records Manager along with any
other necessary or important information.
III. Administrative Duties
Prepares and maintains clerical staff schedules
Interprets and researches codes , policies, procedures as neces sary
Prepares clerical employees eva luations both temporary and per manent
Assists in the select ion of new personnel
Develops and implements cleric al policies and procedures
Accepts and approves civil proce ss for Sheriff’s Department em ployees
IV. Supervisory Duties
Supervises the division’s clerical staff
Reviews and signs clerical time sheets
Approves financial disbursement s of $5000.00 or more from the Civil Trust Fund
Approves financial disbursements to be paid to debtors or trus tees on bankruptcy
cases
Advises and counsels personnel as necessary
Provides training on procedural changes
Liaison between cler ical staff and manager
Performs the duties of Recor ds Manger in his/her absence
Responds to service and personnel complaints
V. Additional Duty
The Records Supervisor confers with the Accounting Technical o n schedules
and procedures as they relat e to divisional workflow.
