SCHEDULING AND TIME OFF
The purpose of this order is to establish a procedure for sched uling watch personnel
and the manner in which time off is granted. I. Policy
The administrative supervisor s hall be responsible for work ass ignments and
work schedules for employees ass igned to their watch. Superviso rs who
schedule assignments shall include:
A. Assign personnel to a work schedul e with days off that addre ss the current
needs of the watch affected due to special assignments, schools , etc.
B. Prepare and post a bi-weekly personnel schedule for the vari ous functions
to be performed within the Communications Bureau.
C. Maintain and post pre-author ized scheduled time off. Authori zed time off is
to be maintained in the administr ative sergeant’s scheduling ca lendar and
shall be posted on a bi-weekly bas is at the beginning of each p ay period.
D. Prepare and post a holiday ti me off schedule, by seniority, by October 15
of each year for Thanksgiving, C hristmas Eve, Christmas Day, Ne w Year’s
Eve, and New Year’s Day.
E. Prepare and post an annual vacat ion schedule no later than J anuary 1 of
each year in accordance with General Order 15/02.
F. Vacation requests will not be reserved unless an employee ha s or will
have the required amount of leave balances.
II. Pre-Arranged Time Off
A. The administrative sergeant i s responsible for granting all pre-approved
time off for all personnel.
B. Personnel will co mplete an absence r equest form and submit i t though
their respective watch superviso r to the administrative sergean t for
approval of all pre-arranged time off. Pre-arranged time off in cludes the
following:

1. CTO 2. Holiday in lieu hours 3. Vacation 4. Sick leave (pre-arranged) 5. Military leave 6. Authorized leave without pay
C. Whether the absence request i s approved or disapproved, the
administrative sergeant shall ma ke the proper notation on the a bsence
request, sign it, and return it to the employee. The sergeant s hall also
make a note on the scheduling ca lendar noting the request for t ime off and
whether it is approved or disappr oved. Disapproved time off not ations give
the employee first opportunity fo r the time off due to any chan ges in
scheduling.
D. Except in emergency situati ons, watch supervisors will not g rant time off to
personnel due to scheduling comple xities of overlapping shifts. Personnel
requesting time off shall be refe rred to the administrative ser geant for final
approval.
