CIVIL DIVISION – RECORDS MANAGER
The purpose of this Operations Or der is to outline and duties a nd responsibilities of the
Sheriff’s Civil Divis ion Records Manager.
I. General
The Records Manager is a managem ent level employee responsible for
directing the work of the cleric al and accounting sections of the Civil Division.
II. Chain of Command
The Records Manager reports direc tly to the Civil Division Com mander.
He/she reports information as d irected by the Division Command er as requested.
III. Administrative Duties
The Records Manager will perform the duties of the Commander i n the Civil
Commander’s absence unle ss otherwise designated
Develop and implement procedur es, policies and work standards for the Clerical
and accounting sections of the Civil Division
Coordinate division activities with other divisions of the She riff’s Department (i.e.
courts, outside agencies, attorne ys, and other concerned partie s)
Assist with the preparations and development of the division b udget
Assist with the development and implementation of division goa ls and objectives
Hire clerical and accounting personnel
Interpret complex codes, regul ations, policies, and procedures
Accept litigation documents for Sheriff’s Department employees
IV. Supervisory Duties
Perform the duties of the Comm ander in the Commander’s Absence unless
otherwise designated
Direct supervision of the divisi on ASO I, division accounting and clerical
supervisory personnel and their subordinates
Advise and counsel personnel as necessary
Liaison between his/her subor dinates and his/her superiors
Liaison between cleric al and field personnel
Respond to service and personnel complaints
Assure that the division account ing and clerical personnel are trained in any
changes regarding the handl ing of civil process
Approves financial disbursement s of $10,000.00 or more from th e Civil Trust
Fund.

V. Absence
The Sheriff’s Records Superviso r will be the acting Records Ma nager in the
manager’s absence unless otherwis e appropriately designated.
