SUBJECT: Hot Tray/CLETS Entries
INFORMATION:
This is an update to Training Bulletin 17-04 regarding what constitutes a Hot Tray &
which Hot Trays are handled by Di spatch, when Records is closed.
Hot Tray and CLETS Entries
Hot Trays are items that Dispatch/Records processes that need to be entered into
CLETS in a timely manner. The most frequently used CLETS systems are listed below,
along with examples lis ting the requirements before entry is completed .
Automated Firearms System (AFS)
ONLY lost, stolen or recovered firearms are entered by RECS
All other firearm hot tray entries are entered by Property & Evidence, including:
Safekeeping Firearms, Crime Guns (illegally possessed, involved in a crime or
found)
Automated Property System (APS)
Stolen/Recovered/Under Observation/Lo st/Found (including Safekeeping)
property with Make/Brand & ID/serial number
This does not include vehicles, license pl ates or other motorized equipment (SVS
is used instead)
Stolen/Recovered Credit Cards
Jewelry w/serial number/engraving
Stolen CA DMV Registration Tabs
California Restraining & Protective Orde r System (CARPOS); formerly DVROS
Entry/Modification/Proof of Service/Violations to any of the following
Emergency Protective Orders MVPD enters:
EPO-Emergency Protective Order
EGV-Emergency Gun Violence Order
Proof of Service/Violations to any restraining orders listed in CARPOS
including, but not limited to the following:
CPO-Criminal Harassment Order

GVROS-Gun Violence Restraining Order
TRO- Domestic Violence Temporary Restraining Order
JUV-Juvenile Restraining Order
In AFR: Names Tab for each individu al listed & the EPO-001 (for EPO) or EPO-
002 (for EGV) including the narrative/synopsis must be completed prior to entry
Completed form signed by judg e also needs to be submitted
For Proof of Service/Violation Messages, please fill out the appropriate
purple/green half sheet & give it to Dispatch/Records
Missing & Unidentified Persons System (MUPS)
Missing/Found/Located/Associated Vehicle/Suspect info entries
In AFR: Case Tab, Name Tab & MP Template must be completed prior to entry
Include vehicle or suspect info, if applicable
May also use MP Report Form (PD-018), if no access to AFR
Stolen Vehicle System (SVS)
Stolen/Recovered/Lost/Found license plates need a CHP180
Stolen/Recovered/Impounded/Stored/Missi ng Person/Felony vehicles need a
CHP180
Electric bicycles or motorized equipment without a 10-28 hit, does not require a
CHP-180
Completed CHP180 given to Dispatch/Records must be completed prior to entry
For 18051R, advise the condition of the vehi cle, status of plates & VIN, whether
or not there’s a subject in custody & advise if you’ve notified the RO
If field releasing, submit your CHP180 as s oon as practical, so it can be taken out
of SVS, prior to the RO leaving the scene (if possible)
When Records is closed, Dispatch on ly handles the following HOT TRAYS:
Any SVS entries on a CHP180, Repossesse d & Private Property Tows (advised
events)
MUPS entries, locates, modifications & cancels
CARPOS (EPO & EGV) entries, modifications & proof of service
