Policy: It is the policy of the Kissimmee Police Department, upon review and approval to
compensate on -duty employees for loss or damage to personal property sustained in the
performance of their assigned duties.
115.01 Procedures: Employees are not required to obtain prior authorization to utilize the
following items or personal property while on duty:
a. Corrective eyeglasses;
b. Watches;
c. Wedding bands; and
d. Non-prescription sunglasses.
An employee is eligible to apply for reimbursement for an item of personal p roperty if the item
was lost, damaged, or stolen during the performance of their duties subject to the following
limitations:
a. Corrective eyeglasses shall be replaced at the current replacement value up to two hundred
dollars ( $200 );
b. Watches, wedding band s and non -prescription sunglasses shall be replaced at the current
replacement value up to one hundred dollars ( $100 ); and/or
c. Personal property other than corrective eyeglasses, watches, wedding bands and non -
prescription sunglasses shall not be subject to reimbursement.
Personal property shall not be reimbursed if the employee contributed to the loss, damage or theft.

Page 2 of 3 115.02 Approval Procedures: Personal equipment shall be prohibited for use on duty unless the
employee has received prior authorization. If an employee identifies a need to use personal
equipment on duty, they shall submit a memorandum requesting authorization. The memorandum
shall contain the following information:
a. Type of equipment;
b. Make and model number;
c. Serial number;
d. Approximate value; and
e. Statement of need.
The memorandum shall be forw arded to the employee’s supervisor for review. If the supervisor
concurs with the employee’s request, they shall forward the memorandum to the Division Captain
via the chain of command.
The Division Captain shall have the final authority to approve the us e of the personal equipment
on duty. If the Division Captain authorizes the use of the personal equipment, they shall make a
notation on the memorandum and forward it to the Quartermaster’s Office.
The Quartermaster shall file the memorandum for future reference. Reimbursement for personal
equipment that is lost, damaged, or stolen in the performance of official duties is limited to a
maximum of one hundred dollars ( $100 ). Personal equipment shall no t be reimbursed if the
employee contributed to the loss, damage or theft.
115.03 Reimbursement Procedures: To apply for reimbursement of personal property or
equipment, an employee shall submit a memorandum to their supervisor within three (3) working
days of the loss, damage or theft.
The memorandum shall include the following information:
a. Time and date of the loss, damage or theft;
b. Description of the item;
c. An explanation on how th e loss, damage or theft occurred; and
d. Documentation of the cost to replace or repair the item.
A Police Incident Report shall also be prepared to document the loss, damage, or theft. A copy of
the Police Incident Report shall be attached to the employee’ s memorandum. The employee’s
supervisor shall review the documentation and make a determination as to whether or not the
personal property or equipment is eligible for reimbursement.

If the personal property or equipment is eligible for reimbursement, the supervisor shall forward
the memorandum to the Division Captain via the chain of command. The Division Captain shall
forward the documentation to the Administrative Director of Financial Services to process the
reimbursement request.
City of Kissimmee forms are not required for personal property or equipment that is lost, damaged
or stolen .
