PURPOSE: The purpose of this standard operating procedure is to establish guidelines for the supplementing of reports in the Department of Patrol Services . II. SCOPE: This procedure shall appl y to all latent investigators responsible for the supplementing of reports in the Department of Patrol Services . III. PROCEDURES: A. Within 21 days after initiating an investigation that is not cleared, a Detective/Plain Clothes Deputy shall submit a sup plem ent report indicating the status of a case. 1. This report shall include all investigative efforts performed to date and reason for continuing the investigation (i.e. , new leads, attempting to locate suspects, etc.). 2. If the investigation continues, another supplement shall be submitted no later than 15 days after the fir st supplement, either clearing the case or closing it out, with no further leads status. 3. Approval of a supervisor shall be obtained for an investigation to continue past the 15 -day supplement deadline. B. In a case cleared by arrest, or capias/warrant issued, a priority supplement shall be completed within a 24-hour period of the arrest or issuan ce of the capias/ warrant. C. The narrative should be used to reflect the investigativ e results of the Detective/Plain Clothes Deputy and include both positive and negative aspects of the case. D. All information should be recorded in chronological order. E. When persons, particularly witnesses or suspects, are mentioned in the supplement , refer to them by name rather than as witness #1 or suspect #1. F. At the conclusion of the narrative, if an arrest has been made, list t he person arrested, race, sex, age, date of birth, charge, and amount of bond. 1. If the suspect was not charged, ex plain why (i.e. , lack of probable cause, part of a multiple case clearance agreement, etc.). 2. If other cases are cleared, they shall be cross -referenced on the master case by case number. 3. In other exceptionally cleared companion cases, the master case number shall be referred to in the supplement report. DPS 452.00 06/03/21 Page 2 of 2 G. The clearance text of the supplement shall list the disposition of the case, (i. e., cleared by arrest, exceptionally cleared, no further leads, or unfounded).
