PURPOSE : The purpose of this standard operating procedure is to establish guidelines for the reimbursement of out-of-county take -home use of Sheriff's Office vehicles. II. SCOPE : This procedure shall apply to all Sheriff's Office personnel . III. DISCUSSION : The take -home use of Sheriff's Office vehicles for personnel who reside outside of Hillsborough County shall be at the lowest cost to taxpayer s. IV. DEFINITION S: A. Residence - A place where a person abides, lodges, or resides for 5 or more consecutive days . B. Out-Of-County Residence - A residence establis hed within 60 miles of the Falkenburg Road Jail within the counties of Citrus, Hardee, Hernando, Lake, Manatee, Pasco, Pinellas, Polk, Sarasota, and Sumter . C. Sheriff's Office Vehicle - A motor vehicle owned or leased by the Sheriff's Office. * V. PROCEDURE : A. Sheriff’s Office personnel will be required to reimburse the Sheriff's Office for actual mileage from the Hillsborough C ounty line to the ir out-of-county residence at a predetermi ned set tiered rate that covers all round -trip mileage within that tier, determined on an annual basis by the Financial Services Division and updated on January 1st each year . Sheriff’s Office personnel who reside out of county up to five miles each way ( i.e., up to and including ten miles round -trip) from the county line wil l not have a monthly payment. Out-of-County Vehicle Mileage Tiers *Tier 1: 5 miles each way (up to and including 10 miles) $0 per month *Tier 2: Greater than 10 miles and up to 15 miles $25 per month *Tier 3: Greater than 15 miles and up to 25 miles $50 per month *Tier 4: Greater than 25 miles and up to 35 miles $100 per month *Tier 5: Greater than 35 miles and up to 45 miles $150 per month *Tier 6: Greater than 45 miles $200 per month *Round -trip mileage B. Sheriff’s Office personnel are perm itted to live in the following counties: Citrus, Hardee, Hernando, Lake, Manatee, Pasco, Pinellas, Polk, Sarasota, and Sumter if the residence is located within 60 miles of the Falkenb urg Road Jail. Mileage shall be initially verified by a supervisor utilizing web -based mapping (i.e., Google Maps) and noted thereafter during monthly vehicle inspections. GEN 248.01 12/24/25 Page 2 of 2 * C. Sheriff’s Office personnel who drive an assigned vehicle must request auth orization to drive to their residence outside of Hillsborough County by submitting an Out-of-County Vehicle Request via Workday. It is the responsibility of Sheriff’s Office personnel to have the out -of-county mil eage correct and up to date. * D. Billing for mileage shall be assessed based on the employee ’s total round -trip mileage between the employee ’s out -of-county residence and the Hillsborough County line. Charges for the total monthly reimbursement shall be applied on a biweekly basis according to the designated tier and may be adjusted if travel patterns change. Personnel will not be required to pay reimbursement for additional mileage incurred for usage to and from court appearances, depositions, call -outs, special details/assignments, and/or off -duty details, nor will they be credited for mileage not incurred due to leave days . Executive and Command Staff, including sworn and professional staff personnel , are exempt from reimbursement obligations due to travel undertaken in connection with their official roles and responsibilities.
