PURPOSE : The purpose of this procedure is to define guidelines for the capture and recording of assistance rendered by off -duty Sheriff's Office personnel. II. SCOPE : This procedure shall apply to all Sheriff's Office personnel assigned to, or ope rating , Sheriff's Office vehicles with voice radio or digi tal communications equipment. III. DISCUSSION : The capture and recording of off -duty assistance rendered by Sheriff's Office personnel in an official capacity must be established in a uniform and rel iable manner that will encourage accurate reporting. Accurate data is necessary for effective resource planning and management. IV. DEFINITIONS : A. MDT Unit - Sheriff's Office vehicles equipped with Mobile Data Terminals. B. Official Capacity - Actions tak en as a representative of the Sheriff’s Office. C. Voice Ra dio Unit - Sheriff's Office vehicles equipped with an active voice communications radio . V. PROCEDURES : A. Reporting: 1. All Sheriff's Office personnel operating radio -equipped Sheriff's Office vehic les shall notify the Communicati ons Bureau by radio or phone when coming to the aid of citizens, other agencies, and on -duty Sheriff's Office units in an official capacity. a. Off-duty activity while representing the Sheriff ’s Office shall be reported to the Communications Bureau by using the assigned radio unit nu mber with the suffix "O -D" and the appropriate ten code (i.e., HILLSBOROUGH, 362 O-D, 10-50). (The "O -D" may also be dropped if logged on in off -duty status .) 2. When acknowledged by the Communicat ions Dispatcher : a. If making a traffic stop, advise your location , direction of travel, and the description of the vehicle being stopped . b. If assisting a citizen, another agency, or another Sheriff's Office unit, advise the nature of the incident (plain language), location , and status (whether on -scene or en ro ute). c. MDT units already logged into the system in an off -duty status need not report their ABN. If not logged into the system, provide the Communications Bureau your ABN. GEN 233.01 10/01/21 Page 2 of 2 B. Off-duty log -on for MDT units: 1. MDT units may log into the system as an off -duty unit using the proper log-on protocol. 2. Activity should be reported by radio or phone with unit number . 3. The off -duty unit will then be assigned a call, which can be updated and cleared by voice or digital in the same manner as an on -duty unit. C. Communi cations Bureau: 1. When contacted by off -duty Sheriff's Office personnel using their radio unit number and off -duty suffix, Communications dispatchers shall request the ABN and nature of the incident (if not given). 2. If the calling off -duty unit is not logged into the system in an off -duty status through MDT , the Communications dispatcher will then log the unit into the system as an off -duty unit and assign the appropriate nature code and status ( en route or arrived on -scene). 3. Upon information that the assi gnment has been completed, the Communications dispatcher shall then enter the proper clearance code and log the unit off the CAD system (unless logged on as a scheduled off-duty unit).
