Published with permission by Garden Grove Police DepartmentInformation Technology Use Procedures - 1Information Technology Use Procedures 321.1 PURPOSE AND SCOPE This procedure will establish guidelines to regulate the content and use of the department's computer equipment and software. This procedure governs the use of all department computers, whether or not connect to the network. 321.2 RESTRICTED USE Each employee shall ensure that their computer is protected through the use of passwords. Employees should adhere to the following guidelines (a)Use a password that you will be able to remember. Once your password has been added to the network, it cannot be retrieved. (b)Don’t use passwords that consist of a common name, a relative’s name, your initials, birth date, or other significant personal information. (c)Use passwords that use at least one number or symbol - e.g.,! @, #, $, %, ^, &, *, etc. (d)Use two-word passwords separated with a symbol (e)Don’t write your password down or share it with anyone else. (f)Log off of the network and your computer any time you leave your computer unattended. 321.3 PURCHASE AND CONTROL OF DEPARTMENT SOFTWARE It is acknowledged that it will be necessary for the department to purchase software from time to time. Requests for the department to purchase software will be processed as follows: (a)Submit a memorandum to the Support Services Bureau Commander which identifies the software and describe how the program will be legitimately used within the official business of the department. (b)If approved, the Support Services Bureau Commander will determine the need for a multiple-user site license. (c)The software will be purchased by the Support Services Bureau Commander or his designee and will be registered to the Garden Grove Police Department. The original disks, warranty, instructions and any other paperwork will be stored with the Department's Information Systems Technician. 321.4 HARDWARE AND PERIPHERAL ISSUES Absolutely no hardware or peripherals will be installed or otherwise connected, either internally or externally, into any department computer without prior approval of the Support Services Bureau Commander. (c)When appropriate, the item will be appropriately tagged as department property and registered to the Garden Grove Police Department. (d)The warranty, operational software, instructions, and any other paperwork will be stored with the Department's Information Systems Technician.
