I. Purpose: This Order ensures that Department members with military activations
exceeding ninety days (90) for pre-deployment, deployment, and post deployment are
provided with consistent and clear direction as to what is required of them when
deployed and returning from deployment. [CALEA 22.1.9]
II. Policy: The challenge of these activations has been to provide the appropriate
support to the deployed officers and their families prior to, during, and to successfully
reintegrate the officer back into the civilian law enforcement community once the
deployment has ended. Therefore, it is the Gainesville Police Department’s policy to
demonstrate a consistent response to officers deploying/returning from an extended
active military deployment. To assist with the process a guide titled “Serving America
as a Whole” has been created. The guide is available on the GPD intranet.
III. Procedure:
A. Military Leave:
1. Reserve or Guard Annual Training: See: Military Leave articles of the applicable
labor agreement (FOP, PBA, CWA) or City of Gainesville Policy.
2. Reserve or Guard Active Military Service: Military Leave articles of the applicable
labor agreement (FOP, PBA, CWA) or City of Gainesville Policy.
B. Pre-Deployment:
1. Members receiving orders shall notify their immediate supervisor as soon as
possible.
In the event that due to time constraints the member is unable to make all of the
notifications and deliver all of the issued items to the respective bureaus; the

2. Members shall utilize the guide to assist them in the process of preparing for
deployment. The guide will provide deploying member with a more comprehensive
list of tasks to be completed.
3. Members shall deliver a copy of their orders to the department timekeeper.
4. Members shall contact the department Court Liaison and make notification of
their deployment.
5. Members shall turn in all of their issued equipment to the appropriate bureaus. All
of the agency issued equipment shall be stored with the respective bureau during the
member’s deployment. [CALEA 22.1.9.d]
Members shall be permitted to retain possession of their department issued ID
and Badge
6. Members shall turn in the guide, having completed the pre-deployment portion, to
the Personnel Services who shall retain custody of the guide until the member
returns from deployment.
7. Members shall attend a stress management meeting which will be scheduled
through Personnel Services.
8. Members shall attend an exit interview with the Chief of Police or designee.

appointment.
C. Post-Deployment:
1. Members returning from deployment shall notify the Personnel Services Division
as soon as practical of their return.
2. Members shall collect the guide from the Personnel Services representative. The
guide shall be used to help facilitate the re-acclimation process.
3. Notify the department timekeeper of your return.
4. Notify the Training and Education Division of your return. Members may need to
attend initial and/or refresher training, weapons requalification and steps for
reintegration as appropriate. [CALEA 22.1.9.f]
5. Notify the Fleet Unit of your return in reference to an issued vehicle.
6. Notify IT of your return
7. Notify the Court Liaison of your return.

8. Members shall attend a stress management meeting which will be scheduled
through Personnel Services.
9. Members shall be sent to Employee Health Services for a basic fitness
examination.
10. Members shall attend an interview with the Chief of Police or designee. [CALEA
22.1.9.e]. Members shall contact the Office of the Chief to schedule an appointment.
D. Supervisor Responsibilities:
Pre-Deployment
1. If time permits, ensure you receive a copy of your officer’s military orders. If time
does not permit, instruct the officer to fax/send a copy of the military orders as
soon as possible.
2. Ensure a copy of the employee's orders and military pay information is sent to
Police Payroll. This will ensure the employee’s pay preferences and time-
keeping (workday) entries are completed for the duration of the deployment.
3. Ensure that the employee schedules time with Information Technology, the
Training and Education Division, the Fleet Unit and Property to turn in the
necessary equipment. If time does not permit, collect all of the required
equipment from the employee and ensure that they are turned in to the
appropriate section of the department.
4. Ensure that the Court Liaison is notified of the deployment and advise the dates
the member will be unavailable for court.
Post Deployment
1. Upon receiving contact from the employee in reference to a return date,
immediately contact police personnel with the expected return to work date.
Ensure the employee provides police personnel with a copy of their
deactivation/discharge paperwork. (DD-214)
2. Once the employee returns to shift, discuss with the employee, if a shift level re-
familiarization plan is needed. This plan should include having the employee
ride/work with another employee for a period of time.
E. Personnel Services Division Responsibilities:

1. Ensure you receive a copy of the employee's military orders from the
employee or the employee's supervisor.
2. Personnel Commander or designee shall serve as the department’s point of
contact. [CALEA 22.1.9.a]
3. The Personnel division shall assist the department member with
communication with the City of Gainesville Human Resource- Risk Management
[CALEA 22.1.9.b].
4. Responsible for ensuring a process for communication with the deployed
member is established. [CALEA 22.1.9.g]
Post Deployment
1. Request a copy of the deactivation/discharge paperwork (DD 214) from the
employee. Ensure all required paperwork is forwarded to the Human
Resources Department.
2. Obtain a return to duty date for the employee
3. Have employee respond to Employee Health Services for a basic fitness for
duty examination.
4. Schedule a stress management meeting
5. Notify the Training and Education Division of the employee returning to work
and date they will be reporting to the academy for re-acclimation training
F. Training and Education Division :
Pre deployment
Take possession of the department issue firearms and Taser. These items will be
stored under the care and study of this unit during the member’s deployment.
Post Deployment
1. Determine what blocks of instruction are required to make sure that the
member’s CJST standards remain current.
2. Determine what blocks of instruction need to be made up to keep the
members skills in line with that of other department members
3. Issue and qualify member in both firearms and taser.

*Upon returning to GPD members will report to Personnel Services. During this time your
hours will be Monday through Friday 0800 – 1700. The first two – three days th
